We have around 350 ongoing individual clients and provide services to a smaller number of businesses/organisations. We are a small but growing team focused on great client outcomes.

Technical Administrator

Hours of work: 35 – Monday to Friday 9am to 4.30pm

Salary: dependent on experience and qualifications

Our Client Care Team deal with all administration issues relating to initial client contact, onboarding, the advice process, product/services implementation, ongoing client contact, annual reviews, record keeping, office housekeeping and practice management. Each role has some degree of specialisation and some degree of overlap and as small business it is important skills are sufficiently shared so that individual roles can be covered during absences.

Full Job Spec

As an apprentice administrator in our business, you will assume responsibility for several key business areas including:

  • Initial point of contact for clients.
  • Deal with client and provider queries by phone/email/post.
  • Maintain client database/mailing lists.
  • Gather client product data and record.
  • Production of annual review meeting packs.
  • Prepopulate reports and reviews with cost & charge disclosures.
  • Obtain/product pre-sale product documentation.
  • Check reports/reviews and issue packs with all necessary supplementary documents, with responsibility for the end result.
  • Implement all proposals (including investment and non-investment business) through to satisfactory completion and record.
  • Continuous contact with clients as work is being completed, to keep them in the loop.
  • Manage SIPP trustee bank balances where required.
  • Administer any regular premium business including preparing annual renewal notices and notify plan reviews.
  • Checking of investment deals for colleagues.
  • Client mailings – half-yearly investment statements, issued monthly on date determined by date of annual review.
  • Servicing of Corporate Customers including preparing quotations, processing, renewals, record keeping.
  • General office administration and housekeeping, including post, scanning/copying, record keeping, call answering, diary management.
  • Ad hoc project support where needed.
  • Support and carry out training for new members of new staff.
  • Supporting colleagues where needed in busy times.

This is a fantastic opportunity to join the firm in a training role, which will include client data analysis and recording, product research, building and manipulating financial lifetime models and co-writing suitability reports. As the role progresses there will be ownership of client accounts, and working closely with financial planners to complete all aspects of client planning work. As a trainee paraplanner in our business, you will assume responsibility for several key business areas including:

  • Gathering and analysing client data (personal & product related) and record.
  • Attending client meetings where required.
  • Researching and analysing products/services, including existing plans the client has.
  • Building lifetime financial models and manipulating to determine optimal solutions through various ‘what if’ scenarios and stress tests, considering client needs, taxes, liquidity, risks, care needs and estate planning.
  • Matching products and portfolios to client needs.
  • Obtaining/producing product documentation
  • Co-writing suitability letters and co-managing suitability templates and enclosures.
  • Co-producing post review ongoing suitability letter/new actions suitability letter.
  • Anticipating potential issues in relation to the processing of review/new business actions, liaising with Admin Team to ensure the best outcome.
  • General office administration, including diary management and maintaining client records.
  • The post holder may be required to undertake additional duties as required, commensurate with the level of the job.

Essential skills and experience

  • Highly competent with a willingness to learn and understand, both within work time and in your own time.
  • Understanding of the structure of the Financial Services market, including the role of the financial adviser and product/platform providers & investment managers.
  • Fully understands the Financial Services regulatory framework, the ethics and key principles of the advice process. Comprehensive knowledge of the systems and controls that are in place to protect the client and the company. Demonstrates full adherence to these systems and controls.
  • Demonstrates an in-depth understanding of both financial products & financial planning tools. Can analyse which type and features of the financial products are appropriate to the client’s needs.
  • Understands and utilises all systems and processes required to deliver the role objectives. Has sophisticated awareness of how these fit within the wider company and the financial advice profession.
